The Challenge:
A large flagship project, HQ or campus development is always a complex endeavor for any Program Management Office (PMO) to undertake.
In order to ensure that right level of governance and control is in place, it is often necessary for the PMO to face the challenge of bringing large amounts of information together in a quick and easy manner so risks can be identified early and proactively managed before they manifest as issues. This can be a very daunting task when there are multiple vendors, suppliers, consultants and client stakeholders involved.
The following outlines the approach used to build the platform, using typical data expected on such a program.
The Approach:
Flexibility is key. Different consultants, vendors and suppliers may all use different platforms and technology to deliver. The opportunity is to allow them to continue to use the tools they already have but to develop a Common Data Model that allows all of this disparate data to come together in the center. In today's data driven world this isn't as hard as it sounds (at least from a technology perspective). Data can be exposed via APIs, automated data feeds or even manual flat file extracts. The method used is determined by a balance between requirements and costs, to deliver and support the product.
Agreeing the Common Data Definitions: This is actually the hard part. Getting a consistent understanding of the critical data elements and what they actually mean across the different teams.
In this particular demo, RISK is the major focus area with particular consideration on how to highlight risks that might have an adverse impact on program delivery.
Senior stakeholder engagement can be accomplished using the platform to communicate performance, progress and actionable tasks through a single pane of 'interactive' glass. This provides a more immersive experience giving stakeholders the ability to identify focus areas that require their action. The embedment of Virtual Tours allow remote stakeholders access to the site without them having to leave home. A key consideration during the COVID-19 pandemic.
The Conclusion:
With a little upfront effort focusing on how PMOs capture, curate and define data, it is possible to turn it from being an administrative headache to a strategic asset that gives you the power to proactively manage complex programs of work.
